Offers of Coverage stores and displays the date that a health insurance plan was offered to the employee(s) and the outcome of the offer.
Employers must not only offer affordable coverage that meets a minimum essential value, but must also track the employee 'answer' to the benefit offering.
The outcome options include: Enrolled, Offered, Waived, or Union.
An import file feature is available to update multiple records at one time. This is most often used during an open enrollment period, which is also referred to the administrative period.
For individual updates that occur during the plan year, select the add new record option in the upper left corner.
Import File: Import Offers of Coverage information here. This feature saves time, especially after a benefit enrollment period. Use the download template option for a format of the headers needed for a successful import. Import file requires a .csv format.
- Download Template: Generates a template in Microsoft Excel to populate with offers of coverage information for a group of employees. This feature eliminates data entry directly into the system. Once populated, the template will import into the system through the import file.
- Column header: EmployeeID, First Name, Middle Name, Last Name, Plan Name, Renewal Date, Date of Offer, Outcome, Enrolled Date, Disenrolled Date, Waived Date
Add new record: Select this option to update individual employee records with offers of coverage
- Employee Name: Select the employee name from a drop down menu
- Plan Name: Select the Plan Name that was offered to the employee
- Start Date: Enter the employees date of hire
- Date of Offer:Enter the date the employee was offered the benefit plan
- Outcome: Select the option that reflects the employee response to the offer of coverage.

Enrolled: The employee signed up for the benefit

Offered: The employee was offered coverage but is not eligible to participate yet because of the plan waiting period

Waived: The employee declined coverage

Union: The employee is not participating in the offered plan because he/she is enrolled in a union plan outside of the employer sponsored plans.

Enrolled Date: The effective date the employee will be covered under the plan. Reflects either the plan year or the appropriate date that follows the plan waiting period.

Disenrolled Date: The date that an employee is no longer participating in a particular plan.
