Company Information contains key information required in the initial set up. This field is read only for Service Bureaus or end user clients. Apex Support has the administrative access to edit the Company Information fields.
Partner ID: The Service Bureau’s Client Number with Apex Payroll Software Technologies.
Company ID: The Client Number, assigned by the specific Service Bureau.
Company Name: The name of the business as registered with the IRS
DBA: If the company is using a different name to identify themselves, change this to the ‘Doing Business As’ name.
Federal EIN: Enter Federal Employer Identification Number
Is Parent Company: Check this box if the company is the primary company for a control group. A control group is one or more companies that have common ownership under IRS Code 414(b)(c).
Is Child Company: Check this box if the company is part of a control group but is not the primary or ‘Parent Company’ of the group.
► When the Child Company field is selected, the Parent Company field populates a drop down list of associated clients within the Service Bureau. Only companies that are flagged as a Parent Company will display in the drop down list. Select the designated Parent to link it with the Child Account.
Product Type: ACA Compliance Center or Simply ACA. ACA Compliance Center includes compliance tracking and reporting. Simply ACA offers reporting only services.
Agreement Type: Displays Annual or Monthly terms.
Effective Date: The date the ACA OnDemand service began
Payroll Feed Start Date: Only used for a client that has current year payroll history records populated in the payroll system by a quarterly amount vs by month. When populated with a date, the date represents the effective date for payroll and employee data to populate for integrated clients. For example, Company ABC started using payroll services August 1, 2016. The current year wages earned by the employees from 1/1/2016 -8/1/2016 were setup in 'buckets' reflecting earnings 1/1/2016-3/31/2016, 4/1/2016-6/30/2016, and 7/1/2016-7/31/2016. For accurate ACA tracking, the quarter 1 and quarter 2 wages need to be manually imported by month. The system integration of a live payroll feed should begin 8/1/2016. For this example, the Payroll Feed Start Date = 8/1/2016 *Integrated clients only
Active: This indicates if it is an active company
Self-Insured: Check this box for a self-funded health care plan. Self-insured plans are required to file IRS Forms regardless of the number of employees.
School: Check this box if the company is a school. The majority of schools have at least a consecutive four week break during the calendar year which needs to be accounted for during the measurement period.
Demo Company: For Service Bureau use only. Check this box if the company is for demonstration purposes only. A ‘demo’ company will not create transmission files to the IRS
Integrated: This field indicates if a company’s payroll records are integrated with ACA OnDemand. Employee records and payroll records feed from the payroll system directly into ACA OnDemand for integrated clients. With an integrated set up, the payroll system is the primary record keeper of employee and payroll data. When the integrated field is checked, employee and payroll record imports are disabled and corresponding employee and payroll record fields become read-only. *Other import options are available to integrated clients. This includes: Health Plans and Offers of Coverage. If the integrated field is not checked, the client is either in a setup required phase or is a standalone client. Full import access is available to stand-alone clients.
Company Address: Enter the primary company address that is registered with the IRS. This will print on the IRS Forms 1094/1095. The Service Bureau and the Client End User have the ability to edit all address and contact fields.
Contact Information: The contact information fields contain the name of the designated signer of IRS Forms 1094/1095
First Name: Enter first name of authorized signer
Last Name: Enter last name of the authorized signer
Email: This contains valid employee address for the authorized signer
Office Phone: The number here will print on Form 1094
Cell Phone: Contains alternate contact information. This will not populate on IRS Forms
Fax Number: Contains alternate contact information. This will not populate on IRS Forms
