As we approach the end of the year we touch base several times to confirm specific information
- Your business will be receiving a W-2 kit that contains all of the business's W-2's, envelopes and distribution instructions. We reach out on November 15th to confirm your mailing address is correct
- We need you to verify your employee's mailing address and will be sending an "Employee Details" report. Beginning November 12th we follow-up with a separate email containing just this report and instructions.
- For those with S-Corp Owner's Health Insurance included in the owner's payroll, we need the business to confirm the total amount of the owner's S-Corp Owner's Health Insurance paid for the year. We follow-up on November 21st with a separate email containing just this report and instructions.
For those with employee retirement and other pre-tax deductions, to verify the amounts we have recorded, we send along a "Payroll Details" report and ask employers to review the records. We send along this email and report on January 3rd.
- Also for those with employee retirement plans, we need you to provide next year's withholdings and contributions.
The deadline for W-2 updates and changes is January 7th.
We begin printing W-2's on January 10th and send out "W-2 Instructions" via email (these instructions also come with the W-2's).
W-2 kits and instructions are sent on January 16th.
W-2 copies A & D are filed with the Social Security Administration by January 31st
Year-end payroll reporting for tax preparation is sent electronically on January 31st
